Objective

To plan and execute successful inauguration ceremonies and orientation events that reflect the values and vision of Surana College, while ensuring a smooth, welcoming, and meaningful experience for students, parents, faculty, and guests.

Responsibilities
  • Develop a comprehensive event plan outlining objectives, themes, and program schedule.
  • Organize and coordinate meetings with stakeholders including senior management, faculty, students, parents, and invited dignitaries.
  • Arrange logistics such as venue booking, seating, stage setup, audio-visual equipment, decorations, and formal invitations.
  • Ensure hospitality arrangements for guests during the inauguration event.
  • Liaise with the Website/Media Committee to ensure positive publicity and event coverage.
  • Conduct a post-event debrief with the organizing team to evaluate success, challenges, and improvements.
  • Document all observations and suggested improvements in the Meeting Book under "Ratifications."
  • Submit detailed reports to higher authorities after completion of the event.
Protocols to Follow
  1. Establish clear timelines and deadlines for each stage of planning and circulate the program schedule to all stakeholders.
  2. Develop a budget plan covering venue, catering, decorations, logistics, and obtain approvals at least 3 weeks prior to the orientation.
  3. Prepare contingency plans for emergencies or unforeseen situations (technical failures, guest delays, etc.).
  4. Record all meetings and communications related to inauguration and orientation in the Meeting Book.
  5. Submit reports, bills, vouchers, invoices, expenditure statements, and the Meeting Book to the Principal within 3 working days from the date of the inauguration.
  6. Maintain committee files including:
    • Circulars and notices (with seal)
    • Budget approvals and expenditure records
    • Invitations and guest communication
    • Event schedule and program details
    • Meeting Book with ratifications
    • Media coverage records
    • Post-event reports
